The Position

 

The Specialist, Advancement Services provides a combination of project execution and process review and optimization, as well as provides support to a team of Advancement Services Representatives/ Clerks on department-specific technical needs and issues.

 

Reporting to the Director, Advancement Services, the key responsibilities of this role will include:

  • Provides support with gift processing, data hygiene and technology best practices to support the department, fundraisers and donor needs.
  • Works directly with the Project and Data Specialist to ensure all data needs are met and all gifts are recorded according to standard by performing data audits and reviewing existing processes.
  • Supports new technology implementation and business optimization projects within the Advancement Services department.
  • Supports project execution for the Foundation in collaboration with other teams, under the supervision of the Project and Data Specialist or the Director, Advancement Services.
  • Provides training and education opportunities for the Advancement Services staff to deepen their knowledge of existing technology platforms and tools, as well as best practices to facilitate optimal productivity.
  • Creates and maintains import profiles, dictionaries, templates, and all other needs related to gift imports.
  • Oversees tech and system updates and upgrades needed to ensure rollout to team operations, including timeline and execution.
  • Provides internal support with new technology deployment, troubleshooting issues and process optimization for most technology platforms used by the department.
  • Liaises with external tech support departments to provide insights and solutions with complex technical issues, e.g., Luminate / BBMS / Blackbaud / PaperSave support departments.
  • Ensures appropriate security measures are always exercised; is knowledgeable about security for all media and technology related to recording gifts and all databases, payment gateways, payment providers and software used to support the department's activities.

Qualifications

  • Ideally has 2-3 years' relevant experience, preferably in a complex fundraising organization with a large donor base and a medium to large team
    • Preferred 1-2 years' experience as a Senior Representative in the Advancement Services department or 2-3 years as a Representative in the Advancement Services department

Core Knowledge + Skills

  • Strong technical skills and the ability to create/ maintain a positive team-oriented work environment
  • Ability to communicate effectively and respectfully, both verbally and in writing
  • Demonstrated organizational and time management skills with a proven ability to prioritize and balance diverse workloads and meet multiple deadlines
  • Advanced, up-to-date knowledge of Blackbaud products, specifically Raiser's Edge, in relation to database maintenance, gift processing and potential innovations
  • Intermediate knowledge of Microsoft Excel is required
  • Proficiency in Microsoft Word, Outlook, Teams and communication and workload management platforms used by the department
  • Experience working with lmportomatic & Luminate Online and current knowledge of CRA rules and regulations as they relate to gift processing and charitable activities an asset

Salary Range: $55,000 – $65,000
