River Rock Casino Resort is seeking a self-motivated, organized, detail-oriented, as well as a dynamic individual for the position of Hospitality Coordinator. As Hospitality Coordinator, you will schedule special occasion reservations, coordinate meetings and administrative work such as data entry, filing, researching and lending a hand in projects as needed. You will coordinate day-to-day activities of Catering, Front Office and Food and Beverage Operation(s). This is an opportunity to work with a dynamic group of professionals at various levels and an excellent opportunity to showcase your strong customer service and administrative skills.

 

 Duties and responsibilities for our Hospitality Coordinator will include:  

  • Prepares and coordinates IT forms – gain access, passwords, accounts, fix computers, cellphones
  • Conduct mini orientations
  • Manage reservations and payments for special F&B functions
  • Complete Team Member Appreciation letters
  • Department tracking as needed
  • Respond to reservation requests and book through OpenTable accordingly
  • Track Chase terminals
  • Liaising information between departments.
  • Attends and coordinates department meeting minutes
  • Ensure invoices are signed and given to accounting
  • Responsible for menu entry into Opera and Squirrel
  • Creates seating charts for F&B outlets for special events and occasions to maximize seating capacity
  • Order and maintain office supplies.
  • Prints and distributes door cards and daily reader boards.
  • Check voicemails, e-mails and faxes and follow up accordingly.
  • Creates and issues vouchers for groups.
  • Distribute reader boards
  • Manage GPEB/ART/PAT/RG expiry reminders
  • Assist with Kronos as needed
  • Assist with direct billing as required.
  • Distribute GEI commentary to relevant departments for feedback.
  • Performs other duties as assigned by the Director, Hotel Operations.

Successful candidates will demonstrate the following qualifications: 

  • Post-Secondary education or suitable combination of education and experience
  • Minimum 1 year administrative experience
  • Computer literacy in MS Office (Word, Excel and Outlook)
  • Experience with Opera/Fidelio, Squirrel an asset
  • Open Table software experience an asset
  • Extremely detail oriented and great time management.
  • Ability to exceed internal and external customer expectations through timely, effective and service oriented communication
  • Excellent communication skills (both oral and written), interpersonal, organization and negotiation skills
  • Self-motivated, has the ability to multi-task, and ability to work in a dynamic, fast-paced environment
  • Serving It Right, Smart Serve or IGB certification, or the ability to obtain a Serving it Right Certification
  • Ability to exceed internal and external customer expectations through timely, effective and service oriented communication
  • A commitment to continually increase your knowledge of our products and services in order to offer exceptional experiences to our guests
  • A willingness to learn, develop and achieve new skills for personal and professional development

Candidates must be ready and willing to work a flexible schedule. Evenings, weekends and holidays may be required. The hours of work will be based on guest and business needs.
