CST Project Coordinator – Clinical SME Engagement

Role Summary:


The Project Coordinator is responsible for organizing, coordinating and communicating project activities under the direction of the Project Director and Project Manager.


Reporting to the Project Manager for the Clinical & Systems Transformation (CST) project, the Project Coordinator is responsible for the day-to-day management of the CST project deliverables. Provides the review, evaluation and maintenance of the project documentation, project management tools and executive reports for the project, allowing for proactive and effective risk management in collaboration with other team members. Creates, maintains, and tracks all project documentation to provide validation to ensure deliverables and objectives are met. Supports the Project Manager and Director Lead, and prepares and coordinates various contracts and other documents as required. Supports the team by ensuring the various internal and external stakeholders involved maintain a supportive and mutually beneficial working relationship.


Key Accountabilities:

  • Defines, updates and enforces project templates, standards, policies and tools, and provides support and training on project methodology, processes, standards and tools to project managers and project teams.
  • Creates, maintains and tracks all project documentation including project plans, status reports, project schedules, project milestones, project responsibilities, contract logs, project issues, project risks, budgets and expenses, project organizational and communication charts. Provides proactive project support to the Project Manager and the Director and provides accurate status reporting and standardized metrics.
  • Identifies and understands key issues and risks related to the respective project through review and assessment of project team documentation. Assists the PM to develop briefing notes, presentations and to gather data.
  • Monitors, tracks and controls the overall project schedule, scope, timelines and performance of all projects within the scope of CST, including health organization dependent and related projects to ensure projects on schedule and ensures the process for deliverables submission is completed for the timeline.
  • Highlights and alerts Project Manager to issues and risks, and works with the other team members on a proactive basis to design and implement mitigation strategies.
  • Develops and coordinates project onboarding and off boarding procedures
  • Tracks the deliverable review and acceptance processes and highlights issues and works with the Project Manager on mitigation strategies.
  • Prepares, coordinates and issues Requests For Proposal (RFP) and contract documents.
  • Responds to ad hoc requests for information and analysis by researching and gathering information required, manipulating database fields, preparing spreadsheets, tables, charts, graphs, reports and presentations as required to summarize information.
  • Prepares, coordinates and tracks project change orders.
  • Coordinates project reporting requirements and gathers information from project team members.
  • Ensures overall coordination of meetings, and ensures all meetings are appropriately resourced with resources, equipment and information requirements to ensure meetings run smoothly.
  • Acts as the central administrator of the project SharePoint sites and shared drives.
  • Provides administrative support as required.
  • Contributes to a positive and collaborative team environment by information sharing and team cooperation.
  • Performs other related duties as assigned.




Bachelor’s degree (or equivalent) in Business Administration or in a field related to the specific project(s), supplemented by a minimum of three (3) years’ recent, related financial analysis and planning experience in a large, complex service organization or an equivalent combination of education, training and experience.


Experience in three distinct areas must be exhibited: financial analysis, project planning/management and technical expertise relating to the specific project(s).

  • Demonstrated experience with project and process management.
  • Demonstrated excellent verbal and written communication, and with a variety of audiences.
  • Advanced word processing, graphical presentation and spreadsheet applications.
  • Ability to prepare professional presentations and reports.
  • Demonstrated ability to adapt to high-pressure environments, and adhere to critical timelines.
