Are you an efficient administrative assistant? Provide confidential administrative support so our projects and departments run smoothly.

 

What you’ll do

 

  • Work independently, exercise initiative, flexibility, judgement and problem-solving skills.
  • Liaise with external organizations, other health authority representatives, members of the general public and visitors to the organization to provide and/or receive information. Use judgement and initiative in determining the appropriate avenue for responses. 
  • Manage incoming mail/correspondence. Handle telephone and e-mail inquiries. 
  • Produce documents including correspondence, memos, minutes and meeting agendas from handwritten copy and/or Dictaphone software packages. 
  • Arrange meetings by coordinating rooms and equipment, preparing and distributing meeting materials and agendas, taking minutes and tracking action items. 
  • Maintain and update content on our websites. Report on website analytics. 
  • Manage databases for our programs and coordinate project mail-outs. 
  • Create and maintain an efficient filing system, including bringing forward documents required for meetings and proactively identifying action items to be completed before meetings. 
  • Assist with proofreading and editing and maintaining inventories of equipment and supplies for special events. 
  • Prepare expense claims and corporate card reconciliations for the Scientific Director, Cancer Prevention and Population Oncology staff to maintain accounting control over the cancer prevention budget and special purposes funds and other cost centres assigned to the office. 
  • Arrange travel and accommodation. 
  • Prepare and submit employee time records.

 

What you bring

  • Education, training, and experience equivalent to Grade 12 plus graduation from a formal secretarial program
  • At least four (4) years recent related experience, including two (2) years at a senior level.  

You can:

  • Work independently and as a team member to resolve administrative issues/problems. 
  • Type at least 60 w.p.m. 
  • Use tools such as word processing, spreadsheet, database, internet and presentation software at an advanced level.
  • Communicate effectively verbally and in writing including the ability to be tactful and discreet when handling information confidential or sensitive material.
  • Organize and prioritize work, work under time pressures to meet deadlines and handle interruptions and changing priorities.
  • Record and transcribe meeting minutes.
  • Use appropriate business formats and modes of address.
