BC Women’s Hospital & Health Centre (BCW) is the only facility in British Columbia devoted primarily to the health of women, newborns and families. It provides a broad range of specialized women’s health services that address the health needs of women of all ages and backgrounds. BC Women’s is one of the largest maternity facilities in Canada, with over 7,000 births a year, and is both the major primary and secondary maternity services provider in the Lower Mainland and the cornerstone of the provincial tertiary care system. As an academic health centre BCW’s mandate includes providing strong leadership in research and the education and professional development of health care professionals in areas related to the health of the populations we serve. 


BC Children's Hospital (BCCH) cares for the province's most acutely ill or injured children and youth, provides developmental and rehabilitation services to children and youth throughout BC, and offers a broad range of health services. Sunny Hill Health Centre for Children (SHHC), a leading provincial facility offering specialized services to children and youth with developmental disabilities from birth to age 19, works collaboratively with BCCH. SHHC focuses on the child and their family while supporting health care professionals in their community. BCCH also operates a wide number of specialized health programs, is a leading acute care teaching facility, and conducts research to advance health and care through the Child and Family Research Institute and in partnership with the University of British Columbia.

In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position. Reporting to the Finance Manager, Research Projects, and the Research Contracts Administrator provides administrative support in obtaining and managing industry-sponsored research contracts and accounts.  As the first point of contact, the Research Contracts Administrator is privy to highly sensitive and confidential information and employs tact and discretion in managing the day-to-day administrative operations with the University Industry Liaison Office (UILO). Coordinates the preparation of materials for statistics and reports by developing and maintaining contracts and related metrics.  Collaborates with senior staff to monitor the accuracy and completeness of information collected for study specifics by regularly reviewing existing and incoming industry sponsored contracts. Provides BCCHR Finance and Senior Administration with financial information on research accounts, donated funds, and industry and government contracts.





  • Provides administrative support by researching information on policies and established guidelines required for managing research accounts. 
  • Tracks the status of contracts and grants at all stages of processing utilizing the RISE database. 
  • Undertakes preliminary review of all new industry contracts and amendments for compliance with university policies and procedures, including the requirement for ethics approval.  Interprets and identifies various agreements and directs to appropriate party for review.
  • Obtains appropriate signatures for contracts and grants ensuring documentation is complete.
  • Distributes signed contracts, grants, and agreements to the appropriate individual or organization. 
  • Provides guidance to researchers and study coordinators on research budgets and administrative processes, and advises faculty, staff and sponsoring agencies on university and hospital processes, policies and procedures. 
  • Liaises with PHSA Shared Services and BC Children’s Hospital Foundation as appropriate to initiate and open a variety of research project accounts administered at Children & Women’s Hospital. Oversees the inactivation of research project accounts in accordance with PHSA policies.
  • Advises and assists research staff with the transfer of internal funds, payments, cash deposits, and related funds for accounts administered at the University of British Columbia and Children & Women’s Hospital. 
  • Supervises and provides instruction and direction to casual staff and student employees.  Monitors workload to ensure operational requirements are met.  
  • Prepares documents including spreadsheets, correspondence and reports utilizing a variety of software applications ensuring professional standards are maintained and relevant and current data is utilized.  Compiles information, such as research statistics, into structured reports. 
  • Performs other duties as required.




  • A level of education, training and experience equivalent to a diploma in business administration supplemented by course work in advanced word processing, spreadsheet, and database applications
  • Five (5) years recent related experience, including contract and financial management experience in a hospital or university setting. Completion of a medical terminology course preferred. 
  • Strong data entry and database maintenance skills.
  • Proven ability to generate reports from databases and computer software.
  • Knowledge of university and affiliated Hospitals’ policies and procedures relating to research and the execution of contractual agreements.
  • Attentive to detail, with ability to work quickly and accurately.
  • Demonstrated ability to communicate effectively, both orally and in writing.
  • Demonstrated ability to work independently and maintain continuity of work while experiencing frequent interruptions.
  • Ability to meet deadlines while handling several projects concurrently.
