In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position.Under the general supervision of the Technical Manager and work direction of the Chief PET Technologist, the Receptionist performs a variety of clerical functions related to patient care in accordance with established protocols, guidelines, policies and procedures. Duties include acting as a receptionist, scheduling and booking a variety of patient appointments and follow up visits, determining appointment priority, rearranging schedules to meet changing demands/requests, preparing and confirming patient information, and receiving and distributing mail. Completes daily studies for billing before the end of the day.
Duties/Accountabilities:
11. Acts as receptionist by performing duties such as receiving and directing patients and visitors, answering telephones, taking and/or relaying messages, responding to inquiries from physicians’ offices and patients related to appointments and/or release of information, and responding to general enquiries in accordance with established policies and procedures.
2. Receives requisitions, determines patient appointment priority by evaluating patient information such as patient history, test results and pertinent reports, schedules appointments according to established priorities and based on degree of urgency and type of test or procedure, and issues related patient information and instructions to other departments. Ensures proper room and time allowance are correct. Consults with Technical Manager, Chief PET Technologist or Medical Director if any booking difficulties are encountered.
3. Ensures that incoming requisitions have correct and complete information and that patient appointments have been scheduled. Files requisitions in chronological order.
4. Co ordinates any changes to physician appointments; rebooks examination appointments with departments and on occasion contacts patients directly. Notes rescheduled times on requisitions.
5. Arranges Functional Imaging appointment bookings, ensures patient screening and exam preparations are complete, makes arrangements in accordance with patient and outside facility requirements. Prepares daily schedule for staff physicians and technologists.
6. Contacts patients the day before their scan to confirm appointment and review necessary preparations.
7. Reviews appointment schedule and computer print out for the next day’s appointment schedule and ensures that all requisitions are available and all information is complete and correct. Types identification labels for all patient appointments.
8. Prepares set-up for late arriving requisitions and prepares identification label and envelopes.
9. Completes Functional Imaging (PET) examination lists; copies and distributes to appropriate area.
10. Receives and sorts mail and faxes. Distributes to appropriate staff.
11. Requests previous film records from off-site film storage as required.
12. Hands out appropriate questionnaires with ID labels to patients as they arrive.
13. Relieves MRI receptionist for coffee and lunch breaks.
14. Performs other related duties as assigned.
Qualifications:
Education, Training and Experience
• Grade 12, and two (2) years of recent related experience or an equivalent combination of education, training and experience.
Skills and Abilities
• Knowledge of medical terminology. • Ability to deal with others effectively. • Ability to keyboard at 45 wpm. • Ability to operate related equipment. • Ability to organize work. • Ability to communicate effectively both verbally and in writing. • Physical ability to carry out the duties of the position.
