Job Summary:

As such, the requirement to continuously improve quality and safety is inherent in all aspects of this position.

The Client Services Clerk, Screening Programs schedules and books outpatient appointments and processes screening test requests for BC Cancer’s screening programs. The Client Services Clerk also performs clerical duties such as responding to inquiries from screening participants, the public and healthcare providers about cancer screening, entry of patient demographic and eligibility information and, distribution of results and other related clerical duties in accordance with established policies, plans and procedures.

Duties/Accountabilities:

1.    Schedules outpatient appointments and processes screening test requests received via the provincial booking line or online by performing tasks such as assessing client eligibility for screening, entering and updating client demographic information and, providing direction and pre-appointment instructions to the client in accordance with program and site- specific criteria.
2.    Support screening centres by performing tasks such as adjusting schedule templates; generating and distributing daily schedules for mobile and ancillary centres; and communicating daily schedule updates.
3.    Maintains client eligibility status by updating records based on available information provided through client phone calls, returned screening reminder letters, and other communications from clients and healthcare providers.
4.    Processes requests for records or information in accordance with established privacy and confidentiality guidelines.
5.    Requests and receives relevant patient medical records for screening care, follow-up and quality review processes.
6.    Receives and responds to inquiries from screening participants, the public, and healthcare providers using established templated responses.
7.    Provides general clerical support by performing tasks such as sorting and distributing mail, program reports and other correspondence; and requesting, receiving and returning patient bags and other items as required.
8.    Updates and corrects data in various systems for quality assurance or to ensure complete and accurate information.
9.    Ensures accurate inventory counts for supplies following established policies and procedures.
10.    Identifies and communicates client record issues, such as duplicate files, to supervisor.  
11.    Identifies and communicates operational issues and computer related problems to supervisor.
12.    Performs other related duties as assigned.

Qualifications:

Education, Training and Experience

•    Completion of Grade 12, and two year’s recent related experience or an equivalent combination of education, training and experience.     

Skills and Abilities

•    Ability to type at 45 w.p.m.
•    Knowledge of medical terminology.
•    Ability to communicate effectively both verbally and in writing.
•    Ability to deal with others effectively.
•    Physical ability to carry out the duties of the position.
•    Ability to organize work.
•    Ability to operate related equipment.
