Job Description

In accordance with the Mission, Vision and Values, and strategic directions of BC Emergency Health Services, patient safety is a priority and a responsibility shared by everyone at BC Emergency Health Services, and as such, the requirement to continuously improve quality and safety is inherent in all patient and employee safety aspects of this position.

 

The Executive Assistant, PHSA Senior Executive(s) provides a broad range of executive support services and is responsible for coordinating program operations for the ED and coordinating service functions such as Finance, Human Resources and Information Technology.

 

What you will do:

  • Coordinates the efficient operation of the ED's Office by implementing and maintaining appropriate systems and procedures. Coordinates the flow of information on issues and responses, identifies, researches, and responds to issues and drafts responses for signature.
  • Functions as the confidential liaison for the ED with internal and external stakeholders utilizing strong communication and persuasion abilities and an understanding of stakeholder needs. Responds to verbal and written communication directed to the ED’s office.
  • Maintains the ED’s appointment schedule and time commitments through methods such as receiving appointment requests and meeting/conference invitations, determining urgency and nature of requests, resolving time conflicts, and notifying all relevant parties. Arranges travel and accommodation for the ED.
  • Establishes and maintains effective working relationships with key stakeholders including the office of the Executive Vice President of PHSA, Senior Leadership Team Members, BCEHS Directors, and Regional Health Authorities to ensure the effective operation of the office.
  • Produces a variety of accurate and well-designed documents including confidential or personal related correspondence, memos, meeting agendas and reports utilizing various word processing and spreadsheet software packages. As requested, investigates, gathers and compiles information on issues and drafts reports outlining alternative options and recommendations.
  • Attends meetings and/or committees/projects and records and distributes minutes.
  • Assists in budget development ensuring information is current and accurately compiled, monitors expenditures, ensures invoices are authorized to predetermined amounts, and analyzes and reports on variances.
  • Provides leadership to others in the form of guidance and direction on interpretation and application of organizational policies and procedures as well as the exchange of information to others internal and external to the organization.

 

What you bring:

Qualifications

  • A level of education, training, and experience equivalent to grade 12 plus graduation from a post-secondary administrative program and five (5) years of recent related experience, including three (3) years at a senior executive assistant level. 

Skills & Knowledge

  • Ability to plan and organize work to accomplish objectives in a busy, fast paced executive office.
  • Ability to analyse problems, identify key factors and underlying causes, and generate solutions.
  • Ability to influence, persuade and convince others to adopt a course of action.
  • Ability to maintain clear and open communication with internal and external clients regarding mutual expectations, client satisfaction, and take action to correct problems promptly without judgement.
  • Ability to work creatively within standard procedures to fit a specific situation to meet operational objectives.
  • Ability to work cooperatively within diverse work teams.
  • Ability to establish effective systems and processes and monitor to meet and or exceed objectives.
  • Ability to effectively plan 1 – 3 months in advance to ensure that issues and opportunities are addressed in a proactive manner.
  • Ability to remain calm in a fast-paced environment.
  • Knowledge of government and/or health related financial procedures. Advanced skills in Microsoft Office products including the ability to use Excel effectively. Good written communications skills. Demonstrated attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019). 
  • As a strong asset for consideration, we are looking for our successful candidate to have: Knowledge of social, economic, political and historical realities of settler colonialism on Indigenous Peoples and familiarity with addressing Indigenous-specific anti-racism, anti-racism and Indigenous Cultural Safety and foundational documents and legislative commitments (The Declaration Act, the Declaration Action Plan, TRC, IPS, Remembering Keegan, etc.). 

Indigenous Cultural Safety and Diversity

  • Knowledge of Canadian colonial impacts on Indigenous people in social and health contexts, supported by significant knowledge of Canadian and Indigenous ideologies, including knowledge, and understanding of Indigenous cultural safety, cultural humility, Indigenous-specific racism and anti-racism.
  • Awareness of and commitment to learning and understanding the Truth & Reconciliation Commission’s 94 Calls to Action (2015), In Plain Site Report (2020), BC's Declaration on the Rights of Indigenous Peoples Act (2019), and Reclaiming Power and Place Missing and Murdered Indigenous Women & Girls calls for justice, and how they intersect across the health care system.
  • Supports team members on their learning journey, ensuring education strategy for team/department to implement Indigenous Cultural Safety at a practical level.
  • Works collaboratively with appropriate Indigenous teams/departments to ensure ICS lens applied holistically.
  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
  • Knowledge of social, economic, political and historical realities impacting indigenous communities and familiarity with Indigenous Cultural Safety and anti-racism and accompanying reports (BC DRIPA, TRC, etc.)

While BCEHS would consider a foundation in Indigenous cultural safety to be a strong asset for consideration, our commitment to enhancing Indigenous cultural safety includes providing all employees with access to resources and training programs in partnership with San'yas Core Health Indigenous Cultural Safety Training and Anti-Indigenous Racism Response Training.

Salary Range: $63,484.00 - $79,355.00
The starting salary for this position would be determined with consideration of the successful candidate’s relevant education and experience and would be in alignment with the provincial compensation reference plan.
