The Coordinator, Workforce Management Solutions (WFMS) Office reports to the Executive Director, WFMS and is responsible for coordination of activities necessary to operate, maintain, and manage the WFMS Office. The Coordinator is the primary office contact and plays a key role in supporting multiple programs and/or projects, including strategic and confidential initiatives in a complex and changing multidisciplinary environment. The role supports the WFMS team operations, initiatives and provincial projects by way of consultation, guidance and/or administrative coordination to designated staff, contractors and internal and external stakeholders of all levels across the organization.

 

Working in collaboration with leader(s), the Coordinator identifies and prioritizes space utilization initiatives and is actively involved in the planning, development, implementation, and evaluation of space utilization initiatives. The Coordinator organizes general building services and facilities operations concerning space management, space bookings, custodial issues/concerns, installations/moves, the building’s Joint Occupational Health and Safety Committee (JOHSC), security breaches, couriers and event logistics.


What you’ll do

  • Responsible for the coordination of all office and property management (building-related matters) and operational activities, including space bookings, custodial issues/concerns, installations/moves, security breaches, couriers and event logistics, for the assigned building(s). Escalate unresolved issues as deemed appropriate. Manage the lifecycle of purchase orders, including placing order(s), invoicing and payments, monitoring inventory, and organizing replacements and repairs. Create and manage vendor accounts, purchase orders (PO) and database and ensures vendor has required insurance and covid-19 vaccine requirements.
  • Coordinate Statement(s) of work (SOW), including preparation, completion and approval of risk assessment form(s), prepares and distributes SOW to approved vendor distribution lists, collate qualified vendor proposal contracts and complete evaluation workbook form for review, POs, prepares PO form for approval and submits PO to Supply Chain for dispatch. Review expiring POs and submit extensions or termination requests as applicable.
  • Coordinate the implementation of office security, space allocation, access procedures, the building’s Joint Occupational Health and Safety Committee (JOHSC) and First Aid/Health & Safety protocols consistent with PHSA best practice standards, and in conjunction with the appropriate departments. Ensure the necessary flow of information through PHSA, and other partners while maintaining appropriate levels of security and confidentiality.
  • Provide guidance and act as a resources to reception staff, and various users (internal departments and external organizations), on building(s) operations policies, procedures, guidelines and standards. Identify, collect, and analyze relevant information relating to current building tasks, and provide input and recommendations to appropriate team for development, implementation, analysis, dissemination of findings, and policy/practice implications.
  • Assist with the dissemination of information and knowledge related to building tasks and key programs and initiatives under the identified mandate areas through a variety of vehicles.
  • Actively supports the management and facilitation of time-limited tasks and initiatives to identify best practice-grounded strategies and activities for health professionals, policy/decision makers, and the public in research, practice, and policy.
  • Support leader(s) when implementing approved recommendations resulting from research, best practice, and policy reviews.

What you bring

 

Qualifications

  • A level of education, training and experience equivalent to a Business Degree or related program in Operations or Logistics and three (3) to five (5) years of recent, in a complex and changing multidisciplinary environment. Project Management and/or Coordinator experience is considered an asset.
  • Demonstrated knowledge of the historic and ongoing impacts of settler colonialism on Indigenous Peoples in social and health contexts, including supported by significant knowledge of Indigenous-specific mandates, including clear understanding of and commitment to eradicate Indigenous-specific racism and discrimination and embed Indigenous Cultural Safety and Humility.
  • Demonstrate comprehensive knowledge of the historic and ongoing impacts of settler colonialism and systemic racism on Indigenous Peoples within social and health contexts. This includes understanding how these factors contribute to current health disparities and barriers to care. Show a clear commitment to identifying, challenging, and eradicating Indigenous-specific racism and all forms of discrimination impacting equity-deserving groups within health care settings. This involves familiarity and understanding Indigenous Cultural Safety and Humility recognizing personal biases, institutional barriers, engaging in anti-racism education and training and advocating for systemic change.
  • Demonstrated knowledge and understanding of legislative obligations and provincial commitments within Workforce Management Solutions contexts found in the foundational documents including Truth & Reconciliation Commission’s Calls to Action (2015), In Plain Sight (2020), BC's Declaration on the Rights of Indigenous Peoples Act (2019), United Nations Declaration on the Rights of Indigenous Peoples (UNDRIP), Reclaiming Power and Place Missing and Murdered Indigenous Women & Girls Calls for Justice (2019), the Declaration Act Action Plan and Remembering Keegan: A First Nations Case Study - BC Human Rights Code, BC Anti-racism Act and how they intersect across the health care system.

Core Competencies

  • Brings an understanding of the Indigenous specific racism and the broader systemic racism that exists in the colonial health care structure, and has demonstrated initiatives in breaking down barriers and ensuring a safe environment ensuring a sense of belonging to all and informed by Indigenous Cultural Safety.
  • Awareness of social, economic, political and historical realities of settler colonialism on Indigenous Peoples and familiarity with addressing Indigenous-specific anti-racism, anti-racism and Indigenous Cultural Safety and foundational documents and legislative commitments (the Declaration Act, the Declaration Action Plan, TRC, IPS, Remembering Keegan, etc.).

Skills & Knowledge

  • Experience with, or knowledge of project coordination/management, project delivery models, change management and process improvement tools and techniques and enterprise-wide supports. Understanding of and practical skills in research and evaluation, policy review and analysis and excellent communication and collaboration skills to function within a complex interdisciplinary environment of diverse stakeholders.
  • Understanding of and practical skills in; relevant computer software applications; Internet search engines, websites, and navigation; funding structures and application processes; training and education; policy review and analysis; and facilitation, community development, and partnerships.
  • Qualities including: creativity and innovation; sound judgment; tact and diplomacy; ability to work effectively and collaboratively in a demanding and dynamic environment; sound negotiation, conflict management and consensus-building skills; excellent oral and written communications skills.
  • Demonstrates a commitment to beginning and/or continuing their personal learning journey related to Indigenous-specific racism and dismantling systems of oppression, as well as addressing racism more broadly. Shows willingness to articulate and share their learning experiences to contribute to a culture of motivation and inspiration among peers.
  • Demonstrates foundational knowledge of the social, economic, and political realities of settler-colonialism and its impacts on Indigenous peoples and equity-deserving groups within social and health contexts. Understands the impact of social determinants of health-on-health outcomes. Shows a commitment to learning about and upholding legislative obligations and provincial commitments outlined in foundational documents such as the Truth & Reconciliation Commission’s Calls to Action (2015), In Plain Sight (2020), BC's Declaration on the Rights of Indigenous Peoples Act (2019), United Nations Declaration on the Rights of Indigenous Peoples (UNDRIP), Reclaiming Power and Place: Missing and Murdered Indigenous Women & Girls Calls for Justice (2019), the Declaration Act Action Plan, Remembering Keegan: A First Nations Case Study, the BC Human Rights Code, Anti-Racism Data Act, and the Distinctions Based Approach.

Job Type: Temporary, Full-time

Salary Range: $63,484 - $91,259/year. The starting salary for this position would be determined with consideration of the successful candidate’s relevant education and experience, and would be in alignment with the provincial compensation reference plan. Salary will be prorated accordingly for part time roles.
