About the Opportunity:

The Development Coordinator, Interior and North plays a vital role in delivering consistent and high-quality donor experience for the Interior & North regions. This position works closely with and supports the Major Gifts fundraising team in the Interior & North and contributes to support the Foundation in reaching its fundraising goals.

 

Reporting to the Executive Director, Interior & North, this role will provide administrative, operational, and event coordination support to ensure seamless execution of donor focused activities aligned with the Foundation’s strategic priorities.

 

Administrative and operational coordination

  • Provide administrative support to the Executive Director, Interior & North, and other fundraising individuals, as required
  • Coordinate and book internal and external meetings, ensuring accurate and up-to-date calendar management, including booking meeting logistics
  • Draft, route, and track gift agreements and Letters of Understanding (LOUs), in accordance with Foundation policies, guidelines and approval and review processes.
  • Prepare expense claims forms and verify monthly credit card and other charges for payment authorization
  • Coordinate and manage courier and special mail deliveries
  • Maintain current filing systems
  • Identify and recommend improvements to administrative and operational processes.
  • Support the creation and update of process documents and guidelines.
  • Provide cross-departmental support and coverage as needed
  • Provide pro-active support with donor activity, including the preparation of briefing documents and correspondenc
  • Enter and maintain accurate donor records, and run query information related to donors, using the Foundation’s customer relationship management system, Raiser’s Edg
  • Manage donor gift processing in-person, phone and onlin
  • Plan and coordinate the implementation of assigned projects 

Correspondence and Donor Materials

  • Draft correspondence and prepare or co-ordinate the preparation of various reports and briefings as required
  • Assist in preparing donor‑related correspondence and documentation, including drafting first versions of personalized communications such as thank you cards, letters, and other tailored donor messages within the portfolio.

Reporting

  • Prepare team metrics reports
  • Produce operational, stewardship activity tracking reports as required.
  • Clean and validate data lists for events, stewardship, and impact reporting.

Event Planning and Delivery

  • Assist in coordinating logistics for major gift events, including guest list management, guest communications, RSVP tracking and vendor management
  • Prepare briefing notes and support scheduling for speakers, hosts, and vendors.
  • Support event material preparation and ensure exceptional donor service and smooth event execution.
  • Manage a small fundraising portfolio
  • Triage community fundraising event inquiries and manage and respond accordingly

Qualifications

  • A degree or diploma from a recognized post-secondary institution in a related field or an equivalent combination of education, training and experience
  • Three to five years related experience in administration; experience working within fundraising is an asset
  • A willingness to work beyond core work hours, as the occasional evening may be required

  • Collaboration – works effectively across departments and teams ensuring that donors experience one unified organization. Demonstrated interest or willingness to learn donor engagement functions, including event management to support well‑executed donor experiences.

  • Computer skills: - demonstrated advanced competence in computer software such as Microsoft Office Suite (i.e. Word, Excel and Outlook) and intermediate experience with Raiser’s Edge or another customer relationship management system, Asana project management tool

Salary Range: $50,000 - $61,000
