About the Position
- We are searching for 1 temporary (up to 12 months) Administration Clerk, Group Services supporting our Group Services team.
- This position is unionized and part of the CUPE 1816 Bargaining Unit. This position is paid at hourly rates and receives wage increases in accordance with the Collective Agreement. The wage for this position is: $3,990 - $4,396 per month.
Job Summary
Under the close supervision of the Team Leader, Member Administration and Assistant Manager, Group Services, performs a variety of administrative support functions and contributes to the smooth and effective operation of the department by triaging incoming work requests and pulling and disseminating work reports. Fills group supply orders. Processes a high volume of incoming work requests. Keys manual transactions. Provides administrative and clerical support to Group Services.
Job Duties
Processing Work Requests
- Monitors incoming Group Services correspondences and triages them into the appropriate workflow. Tracks and records work request types to monitor department volume.
- Receives, investigates, and redirects returned mail.
- Triaging incoming work requests, troubleshoots suspended jobs in workflow tool and initiates fixes to resolve.
- Keys basic manual transactions into enrollment system.
- Prepares and reviews earnings reports for select groups.
Report Generation and Distribution
- Prepares, reviews, and distributes reports in accordance with established procedures.
Group Supplies Administration
- Receives and fills supply orders from internal and external stakeholders for group benefits booklets and related documentation. Receives and sorts ID cards. Prepares materials for outgoing mail. May order ID cards for select groups on request.
- Fills booklet requests for select groups.
General Department and Team Support
- Orders and maintains an inventory of internal department stationery and supplies. Administration Clerk, Group Services
- Maintains department photocopiers and printers in working order; troubleshoots basic equipment malfunctions and escalates issues to IaTS as needed.
- Provides general clerical support to the department by filing electronic and physical documents and other department material using established filing systems and procedures.
- Conducts culling of terminated and closed files. Prepares archived department files for offsite storage.
- On a one-to-one basis, supports new employees by demonstrating the execution of specific tasks and duties, and sharing knowledge and experience on request.
- Performs other assigned duties related to the provision of administrative and clerical support which do not affect the rating of the job.
Qualifications:
- High school graduation, or equivalent
- Keystroking skills of 6,500 ksph
- Demonstrated proficiency in the use of basic Word and Excel
- 6 months of previous related experience in an office administration or clerical position
