Role Summary

In accordance with the Purpose, Vision, Values and Coast Salish Teachings, and strategic directions of PHSA, safety, including both patient and employee safety, is a priority and a responsibility shared by everyone at PHSA. As such, the requirement to continuously improve quality and safety is inherent in all aspects of this position.  

The BC Health Workday Program is a provincial initiative with seven participating BC health organizations (FHA, IHA, ISLH, NHA, PHC, PHSA and VCHA). The program began in 2023 to implement a Human Capital Management System (HCMS) software solution as part of the BC Health Human Resources Strategy to transform HR services. Designed by Workday Canada, the new provincial platform will replace existing HR and payroll systems in the health organizations with a single, unified technical system that will standardize and modernize HR and payroll services. It is a significant transformation in BC and is vital to the sustainability of BC’s health system. 

Reporting to the Manager, Communications and Training, the Communications Coordinator serves as a key member of the Communications team with the BC Health Workday program (software implementation). The Coordinator supports the development and implementation of internal and external communications strategies for the BC Health Workday program. The Coordinator provides support and/or guidance to colleagues and clients in writing, editing and producing consistent and quality communication materials and messages (including online and digital) for the program. As a member of the communications team, the Coordinator contributes to, and play a key role in, executing the strategic plan to ensure communication and engagements are high-quality, consistent, and facilitate change while maintaining positive working relationships with both internal and external partners.

 

Key Accountabilities

  • Works collaboratively with members of the Change Management, Communications and Transformation Team on communications plans and initiatives, and responds to internal and external inquiries around the BC Health Workday program.
  • Liaises with internal partners to implement communication plans and activities, and with external partners to respond to requests for information, collaborate on joint initiatives and events, and to coordinate communication activities. 
  • Under direction of the Manager and/or other members of the BC Health Workday team, coordinates the development, production and distribution of a variety of content and material for publications, BC Health Workday website, PHSA intranet, and other digital and print communication channels.  
  • Develops and maintains internal and external partner databases to ensure that accurate and timely information is delivered on strategic and emergent issues by methods such as distribution lists, listservs, surveys and others. 
  • Creates action plans detailing the necessary steps to implement changes or enhancements. 
  • In collaboration with the Change Management, Communications and Transformation Team, supports the development of plans to promote awareness of initiatives and contribute to a positive reputation for the BC Health Workday program. 
  • Supports media relations activities, under the direction of the Manager. Represents the voice and the image of the HCMS Program on social media. Actively monitors and responds to social media mentions, creates and maintains positive relationships with our online community and identifies exchanges that need to be elevated to the issues management team. 
  • Provides reporting metrics and analytics to the BC Health Workday project, and prepares reports as required. 
  • Under the direction of the Manager, represents the BC Health Workday program at a variety of meetings when appropriate, and develops content and presents information for the purpose of educating and informing the internal and external partners on the BC Health Workday program.  
  • Monitors online digital and social media trends and best practices, and identifies new and improved opportunities for the HCMS Program to build new relationships. 

 

Qualifications

  • A level of education, training and experience equivalent to a Bachelor’s Degree in Communications, Marketing, Journalism or a related discipline and at least two (2) years of recent, related experience. 
  • Excellent interpersonal, verbal and written communication skills.
  • Solid journalistic writing and editing skills, and creativity and storytelling abilities. Familiarity with a variety of media production methods.
  • Ability to work with confidential and sensitive issues. 
  • Ability to deal with multiple tasks and deliver required results on deadline.
  • Experience using social media and other digital technologies to support organizational communications and engagement of internal and external audiences.
  • Strong working knowledge of Microsoft Office, Adobe Acrobat, and web-based programs such as SharePoint.
  • Understanding of evolving social media platforms, digital marketing, storytelling, website information architecture, and intranet/web analytics is advantageous, as is knowledge of media production (including video) and design applications such as Canva and Mural. Compassionate and empathetic, and an ability to connect with various internal audiences within Health Authorities.
