Job Summary
|
Salary Range: $74,618-$107,264/year. The starting salary for this position would be determined with consideration of the successful candidate’s relevant education and experience, and would be in alignment with the provincial compensation reference plan. Salary will be prorated accordingly for part time roles.

The Space Planner reports to the Facilities Director and is responsible for the space planning, management, analysis, optimization and innovation of the BC Children’s Hospital Research Institute to meet rapidly changing needs. The Space Planner assesses/reassesses how workspaces are planned and designed to adapt the built environment to supporting new ways of both how and where people work ensuring people’s safety, wellness, productivity, effectiveness and enhanced work experience. The Space planner is responsible ensuring coordination of standardized facilities and space management practices across BCCHR programs and spaces. The Space Planner acts as subject matter expert for space planning projects and provides input and recommendations, and collaborates with the UBC Faculty of Medicine, Space Planning and Facilities Management, acting as the first point of contact regarding research space at BC Children’s Hospital Research, Oak Street Campus.
Duties/Accountabilities:
- Drafts and implements a campus-wide research space planning program in collaboration with the Facilities Director, Research Space Committee, and research managers to ensure alignment of research space management guidelines and utilization policies throughout the campus.
- Carries out space planning analysis and reporting; develops and maintains metrics to support the efficient and effective utilization of space and makes recommendations to ensure appropriate space is available to support operational requirements and strategic goals.
- Consults with research management to optimize use of all interior space. Independently identifies, analyzes, plans, and coordinates complex space allocations and ensures planning is aligned with research space management guidelines and utilization policies throughout the campus.
- Develops and implements space management and utilization policies, guidelines, standards, processes and documentation for committee review, and the Facilities Director’s approval.
- Coordinates space planning, moving and renovation. Facilitates consensus with internal and external stakeholders as needed and ensures readiness for project implementation and successful completion.
- Develops and manages a comprehensive space inventory database; manages all facility data on renovations, new construction and room use changes; captures space utilization data through regular and ad hoc space audits.
- Compiles, analyzes, and reports on research and best practices needed to advance research space projects and initiatives. Completes literature reviews to support best practice and performs consultative interviews to provide current research and thinking to support implementation plans relating to various projects. Participates in supporting best practice innovations by preparing proposals and preparation of business cases.
- Coordinates and implements space planning and management processes and initiatives within the Facilities team. Tracks work plans and project progress according to plan and identified metrics. Monitors and reports on the status of work plans and projects and major barriers encountered. Makes decisions and recommendations regarding projects and work plan scope and related changes required to facilitate a successful outcome. Implements or contributes to the implementation of effective processes.
- Establishes detailed project charter, plans and objectives to outline timelines and project deliverables. Executes project plan according to project methodologies, ensures successful and coordinated completion of project components, facilitates consensus with partners as needed and ensures readiness for project implementation.
- Integrate space planning data with facility management systems to ensure seamless coordination between space utilization and facility operations.
- Gather and analyze data related to space utilization, occupancy rates, and workflow requirements.
- Utilize information systems to collect and process data for decision-making.
- Performs other duties as assigned.
Qualifications:
- A level of education, training, and experience equivalent to a bachelor’s degree in business administration or related discipline and five (5) years of experience in a health care facilities role responsible for the planning of health care facilities, health care project coordination, and/or space planning and facilities coordination.
- Highly organized, excellent interpersonal skills, ability to influence.
- Knowledge of project management principles and methodologies.
- Thorough knowledge of space management and utilization principles.
- Effective organizational, research, analytical and problem-solving skills.
- Ability to prioritize, plan, organize and carry out activities within tight timelines.
- Strong verbal and written communication skills and the ability to present data in an effective manner.
- Leadership in facilitating and adapting to changes while establishing a high standard of quality and level of satisfaction amongst employees, clients, partners.
- Ability to plan, organize and coordinate a variety of activities to ensure maximum effectiveness.
- Advanced level of proficiency in Microsoft Office Suite and a working knowledge of PC applications.
