Job Summary:
In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA. As such, the requirement to continuously improve quality and safety is inherent in all aspects of this position.
The Nursing Unit Clerk works collaboratively with management and the interdisciplinary team and performs a range of clerical functions utilizing computerized software programs which relate to the operation of Heartwood Centre for Women such as maintaining patient records, transcribing and processing physician orders, calling in relief staff, requisitioning supplies, typing, and reception duties.
Duties/Accountabilities:
1. Transcribes to appropriate forms and processes physician orders for laboratory tests, pharmacy, medications, diagnostic tests and treatments. Organizes follow up appointments for clients by methods such as assisting the client with making appointments and determining transportation to the appointment, and coordinating appointment time with the treatment program.
2. Completes client pre-registration, registration and discharge on Cerner. Sets up, maintains and checks patient charts to ensure test results and other pertinent information is included by integrating relevant documentation and filing material such as lab results and loose reports into relevant sections. Telephones other facilities, physician offices and/or outside labs to request information/documentation to ensure accuracy of charts; attaches documents such as laboratory and special examination reports to charts after review by authorized staff. Ensures chart is ready for medical records upon patient discharge.
3. Accepts calls from Heartwood nursing staff regarding illness and absence from work and communicates information received to the unit and appropriate personnel; calls in relief staff according to pre-determined guidelines and refers problems/difficulties to the supervisor; maintains relief staff contact list information and other related records; maintains timekeeping records for Heartwood staff as required.
4. Performs receptionist duties by greeting clients, visitors and others; answers queries or directs them to appropriate area or staff. Answers nursing unit telephone, taking and relaying messages.
5. Performs related clerical duties such as typing, compiling, photocopying, faxing, requisitioning supplies, and maintaining related records and statistics such as demographic data, time sheets and census information by entering data into a spreadsheet. Maintains levels of stationary and equipment, assists with keeping supply room tidy, and organizes and stocks the exam room.
6. Performs other related duties as assigned.
Qualifications:
Education, Training and Experience
• Grade 12, medical terminology and graduation from a recognized Nursing Unit Clerk program plus one year's recent related experience or an equivalent combination of education, training and experience.
