Job Summary

Kindly note: This is a split position providing 50% support to Child and Youth Therapeutic Services and 50% to Patient Experience.

 


Job Summary:

In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position.      Performs secretarial and administrative duties; coordinates the work of support staff.

Duties/Accountabilities:

  • Performs secretarial duties such as preparing lists of patients, sending memos, taking minutes for Program business meetings; coordinates committee meetings; composes and types administrative correspondence.
  • Monitors to ensure reports from professionals are received as part of quality assurance.
  • Prepares Program statistics in order to monitor wait lists as compared to patients seen and workload statistics.
  • Prepares files for booking (ensuring all necessary information is available in file) and processes booked cases.
  • Orders and maintains office supplies (monitors stock levels, prepares purchase requisitions, etc.)
  • Maintains full knowledge of the duties of all Program’s support staff and coordinates the distribution of work to support staff. Provides orientation to new staff within the Program. Coordinates the overall provision of the Program’s support services, organizes operating procedures.
  • Assists Program Coordinator in the preparation of the annual budget in relation to office supplies and capital equipment needs.
  • Performs other related duties as may be assigned.

 

Qualifications:

Education, Training and Experience:

  • Grade 12, graduation from a recognized secretarial program, including a recognized course in medical transcription and three years recent related experience or an equivalent combination of education, training and experience.

Skills and Abilities:

  • Ability to keyboard at 60 w.p.m.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively.
  • Ability to organize work.
  • Physical ability to carry out the duties of the position.
  • Ability to operate related equipment.
