Job Summary

Job Summary:

Under general supervision, the incumbent is responsible for the shipping, receiving and forklift functions in Inventory Control.  Maintains a Transportation of Dangerous Goods certificate and current forklift certification per WCB requirements and operates a forklift with a lifting capacity of up to and including 2,041 kg as well as dollies, flat decks and/or pallet jacks.  The job entails receiving and verifying incoming materials, identifying discrepancies in shipments and completing related paperwork.  Instructs delivery drivers upon arrival to the warehouse receiving dock; processes receiving items using a computerized on-line Accounts Payable/Purchase Order System; identifies capital expenditure items for coding; maintains locked holding area for damaged goods, electrical items and pharmacy; and performs preventative maintenance on the forklift and recommends repairs as required.  As well, verifies contents of shipments prior to shipping, prepares goods for shipment in accordance with protocols and the Transportation of Dangerous Goods Act, selects appropriate carrier and prepares appropriate documentation.

Duties/Accountabilities:

1.    Receives and verifies goods/contents of shipments through methods such as unpacking and checking incoming material, cross checking goods with information from shipping reports and computer records utilizing the on-line Accounts Payable/Purchase Order System, identifying overages/shortages, damaged goods and shipments with incorrect purchase orders and referring to Manager for follow-up, and advising departments of discrepancies/omissions to ensure goods are delivered as per specifications. Completes related paperwork such as signing delivery slips and Canadian Customs forms and sends paperwork to appropriate areas.

2.    Transfers materials to the various storage locations in Stores or other areas of the hospital, co-ordinates incoming and outgoing material and assists Stores personnel in the movement of skidded materials and items stored in high places by operating a forklift with a lifting capacity of up to and including 2,041 kg., dollies, flat decks and/or pallet jack to accommodate the placement and rotation of materials.

3.    Directs delivery drivers upon arrival to the warehouse receiving dock through methods such as guiding vehicles into the receiving bays, and instructing drivers to apply brakes and turn off the motor to ensure the safe and proper off-loading of supplies.

4.    Processes receiving of items by checking suppliers' packing slips against the products received and the purchase order using the on-line Accounts Payable/Purchase Order System to obtain the internal delivery location.

5.    Contacts suppliers regarding any discrepancies with orders such as incorrect goods, damaged goods received and obtaining PO numbers.

6.    Retains electrical and biomedical engineering items by placing in special holding area to ensure items are inspected and approved by appropriate inspecting department before delivery.

7.    Processes perishable items upon immediate receipt by labelling and refrigerating items and arranging for hand delivery to ensure items are not spoiled before delivery to department.

8.    Maintains filing system of related paperwork by forwarding receiving paperwork to accounting and retaining copies for department file.

9.    Identifies capital expenditure items using the Accounts Payable/Purchase Order system, affixes bar code on the item and records the label number in the system for capital audit purposes.

10.    Accepts incoming items without a purchase order number such as specimens, samples, documents, repaired goods and special freight and directs to appropriate area for immediate delivery.

11.    Advises vendor representatives of hospital policies regarding acceptance of electrical/mechanical equipment by informing them of inspection procedures to ensure equipment has been approved prior to demonstration.

12.    Maintains locked holding area for damaged goods, electrical items and pharmacy supplies by securing room each night to ensure safekeeping of items.

13.    Prepares goods for shipment by performing duties such as sorting, packaging, wrapping and labelling using a tape gun and/or pallet jack to ensure safe and proper transportation of goods pursuant to established protocols and the Transportation of Dangerous Goods Act.  

14.    Selects appropriate carrier and shipping mode for domestic or foreign shipments as identified by the department by performing duties such as contacting pre-approved carrier/customs broker for pick up and filling out waybill or customs form to ensure appropriate documentation and mode of shipment are met pursuant to the shipping requisition.

15.    Processes shipping transactions by performing duties such as entering data from the shipping report into the Accounts Payable/Purchase Order System and manually logging information into a shipment records book to acknowledge shipment for future referencing and transactions.

16.    Performs maintenance duties on the forklift and power pallet jacks such as cleaning, topping battery fluids, recharging as required, inspecting hydraulic hoses for leaks, testing lifting mechanism, flashers and brakes and recommending repairs as required to ensure the safe operation before daily use.

17.    Clears boxes and stacks skids/pallets by operating a forklift in order to keep the receiving area tidy.

18.    Handles hazardous goods in accordance with W.H.M.I.S. guidelines.

19.    Receives and sorts incoming mail, and processes outgoing mail using postage machine.
20.    Receives, transfers to storage and delivers medical gases to the Nursing Units.

21.    Performs other related duties as required.

Qualifications:

Education, Training and Experience

Grade 12 plus one year’s recent, related experience or an equivalent combination of education, training and experience.
