About the Position
- We are searching for 1 Internal Communications and Events Coordinator to join our Learning and Engagement team.
- This position is unionized and part of the CUPE 1816 Bargaining Unit. This position is paid at hourly rates and receives wage increases in accordance with the Collective Agreement. The wage for this position is: $4,903-$5,723 per month.
Job Summary
Under the general supervision of the Manager, provides creative communication and technical support services to internal clients in the planning, design and delivery of internal initiatives and campaigns to create employee awareness and increase participation in supporting health and wellness consistent with PBC’s mission, visions and values. Champions, promotes and coordinates the execution of planned internal special events designed to support, facilitate and enhance employee engagement. Provides creative and technical support in ensuring intranet content is relevant, adheres to brand guidelines, increases employee engagement and readership, and promotes PBC’s culture. Monitors, updates and writes new content for a variety of internal communications media and channels. In consultation with the Manager, maintains and updates a master calendar of campaigns, initiatives and events, Prepares and distributes cascading organizational announcements. Composes and takes photos of internal events and activities.
Job Duties
Internal Campaigns and Initiatives: Coordination and Delivery
Provides creative communication and technical support services to internal clients in the planning, design and delivery of internal initiatives and campaigns such as internal fundraisers and employee involvement in external initiatives, events and campaigns, to create employee awareness and increase participation in supporting health and wellness consistent with PBC’s mission, vision and values by:
- participating as an active member of internal committee(s) or through consultation with individual managers/employees in the identification of campaign objectives and the selection of the best approach to secure audience engagement through a variety of promotional and persuasive tactics;
- providing input into the planning, scheduling and execution of internal initiatives, and creating and editing content provided by internal clients through creative briefs;
- composing new and refreshed content which adhere to established standards of business English, internal style guidelines, branding and tone;
- creating and sourcing graphics to support messaging, ensuring graphic content is consistent with internal brand standards, and applying various software programs to create and produce a range of materials such as posters, slide carousels and web galleries intended for internal viewing using a variety of media.
Employee Engagement: Internal Event Production
Champions, promotes and coordinates the execution of planned internal special events such as long service awards, staff appreciation events, seasonal celebrations, cultural days and other individual events designed to support, facilitate and enhance employee engagement by:
- planning and securing attendance of key PBC leaders and specialists in consultation with other internal event organizers or contacts, and securing additional attendees to ensure attendance is at maximum;
- sourcing promotional items and prizes in accordance with established criteria;
- creating and producing posters, invitations and other media related to the event;
- attending events to support event execution including location set up/take down, registration of attendees, coordination of volunteers, circulation of materials and coordination of donations;
- facilitating the execution of events through the use of alternative media such as virtual, streaming or other online options to accommodate environmental challenges, in consultation with the Manager;
- in consultation with program specialists, coordinating activities relating to the translation of internal health and wellness initiatives conducted as pilot projects, to products that can potentially be offered to external clients such as health challenges, health screening and health passports.
Employee Engagement: Intranet Coordination
Provides creative and technical support in ensuring intranet content is relevant, adheres to brand guidelines, increases employee engagement and readership, and promotes PBC’s culture by:
- creating and maintaining content within content lifecycle protocols to ensure timely and informative news is communicated throughout PBC’s internal population;
- publishing features on current company activities, community events, campaigns, learning opportunities and sharing of personal stories, ensuring a balance between internal and community content;
- promoting employee involvement in events, campaigns, product launches and committees;
- creating banners and graphics in digital formats;
- tracking effectiveness of content through readership and engagement data, and exploring opportunities to improve results;
- in consultation with the Manager and webmaster, contributing to the design of new concepts to enhance user interaction and ease of posting;
- partnering with the webmaster to permit user access and rights within intranet security rules;
- providing technical support to internal users to troubleshoot barriers encountered in intranet accessibility and interactive features.
General Internal Communication Support
Monitors, updates and writes new content for a variety of communications media and channels including internal publications (“The Buzz”), digital and notice boards, intranet resources and video devices to ensure currency of information circulated for employee viewing and consumption including senior leader and staff announcements, events information, policy updates, articles and news of interest.
Prepares and distributes cascading organizational announcements to Executives, exempt, management, and PBC All including new hires, promotions, retirements and resignations. Sources and includes photographs where appropriate.
In consultation with the Manager, maintains and updates a master calendar of campaigns, initiatives and events to ensure news is tracked and strategically scheduled throughout the year and key messages are effectively relayed to targeted internal audiences.
Composes and takes photos of people, events and activities including editing and sizing photos using photo editing software, maintaining a photo library of all images, creating and uploading web galleries and accessing images for inclusion in internal communications initiatives, campaigns and events.
In consultation with Product and Innovation contacts, coordinates employee participation in testing new or enhanced products on a pilot project basis.
Provides technical communications support to the Manager where unique situations arise unexpectedly and have an impact on the overall employee population. Participates in planning the response including researching and presenting new ideas to facilitate employee acceptance of changes in the workplace environment.
General Team and Department Support
Maintains up to date knowledge of communications approaches, processes and tools through continuous learning initiatives.
Performs other assigned duties related to the provision of internal communications services which do not affect the rating of the job.
Qualifications
Completion of a 1-year Certificate in Graphic Design (or equivalent) including course content covering:
- HTML;
- Adobe Creative Cloud (i.e., Photoshop, Illustrator, and InDesign); and
- intermediate Microsoft Suite (i.e., Word, Excel, and PowerPoint).
2 years of previous related experience in a marketing or communications role, including demonstrated proficiency in:
- the application of business communications and creative writing concepts and tools (i.e., graphic design, photography, printing, and video creation and editing) in a corporate environment; and
- event coordination and execution.
