Join our multi-disciplinary team of passionate and committed professionals working to support our clients who experience mental health and/or substance use challenges and who have involvement with the criminal justice system to integrate into the community with support. This clinic administration position will support the Forensic Assertive Community Treatment Team (FACT).

 

FACT is a newly established service delivery model intended for people with enhanced care needs who are involved in the criminal justice system. The FACT team is a multi-disciplinary healthcare team of professionals who work together to provide holistic and comprehensive services to best serve client needs. This team will be based in Surrey and support specific clients living in the community.

 

This role is ideally suited to a person who enjoys supporting clients to achieve success with reintegration in their community, working in a team environment, solving problems, and working collaboratively with partners. This person must be committed to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and DRIPA (2019). 

 

What you’ll do

  • Coordinate the clerical workflow by methods such as establishing work schedules and priorities, coordinating work assignments, and providing work guidance and ongoing support to staff; participate in interdepartmental meetings, and liaise with other disciplines, community clinics, and FPH to ensure consistency of work procedures; maintain administrative procedure manuals and assist with drafting new procedures and/or updating existing procedures for review and approval, and inform clerical staff of new information and changes in procedures.
  • Supervise clinic clerical support staff by methods such as determining orientation and training requirements; discuss progress and facilitate the establishment of individual and team goals, monitor performance to ensure program standards are met; and clarify requirements, provide input into performance evaluations to promote quality work performance, facilitate resolutions to problems, and refer unresolved issues to the Regional Clinic Manager.
  • Perform duties related to the accounts payable function by methods such as receiving reports and related documents, matching invoices (manually and electronically) to purchase orders, verifying the accuracy of invoices, and checking that all invoices and expense claims have been approved according to signing authority guidelines, follow up with respective departments and/or vendors to obtain missing documentation/information, and forward approved and coded invoices to Accounts Payable for payment on a timely basis. Reconcile designated accounts by matching up payments received and invoices issued, trace the reasons for differences, and liaise with Finance concerning issues and questions.
  • Perform secretarial and administrative duties for the Regional Clinic Manager by methods such as screening incoming materials, determining urgency of requests, and prioritizing items for their attention; inform Manager of emerging clerical/administrative issues and unusual circumstances, and participate in developing the plan of action; assist Manager with creating, maintaining, and managing contracts; and process incoming and outgoing correspondence, and type a variety of technical and non-technical material.
  • Process timekeeping records for clinic staff by completing duties such as entering information into the system within established timelines, applying time codes, answering staff questions, checking entries for accuracy, liaising with Payroll and Scheduling & Timekeeping Solutions, and making adjustments as required. Complete and submit eForms as required. Liaise with Finance, Payroll, and Human Resources as necessary.
  • Provide input into the selection of clerical staff by participating in panel interviews and providing recommendations regarding the evaluation of candidates to facilitate optimal hiring decisions.

 

 

 

What you bring

 

Qualifications

  • Grade 12, graduation from an approved course in medical transcription, and four (4) years recent, related experience including one (1) year in a supervisory capacity, or an equivalent combination of education, training and experience.

  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
  • As a strong asset for consideration, we are looking for our successful candidate to have:  Knowledge of social, economic, political and historical realities impacting indigenous communities and familiarity with Indigenous Cultural Safety and anti-racism and accompanying reports (BC DRIPA, TRC, etc.)
